What are entities and how do I switch between them?

In the Envoria application, the term “entities” is not necessarily synonymous with legal entities. Entities are to be understood as data points in the software on which an entry is made. This functionality allows you to structure the data entry and evaluation individually. For example, this can include

  • Regions
  • municipalities
  • companies
  • areas
  • products
  • Portfolios
  • Investments
  • subgroups

and other possible data points that you have identified and would like to create.

You can make the following configurations here:

  • Type of entity mandatory field (selection of whether this is a company, a portfolio or similar) - this selection has no direct effect in the tool, but only influences the symbolism within the entities view.
  • Entity mandatory field (name of the data point) - if you want to create a company, the tool automatically suggests the corresponding companies that you can select. If you do this, certain linked master data (e.g. address) will be filled in automatically. These are merely suggestions that can be adjusted at any time.
  • Industries (selection from various industry sectors) - this selection has no implications at the current state of the software. In the future, benchmarking information can be controlled here.
  • Code (freely assignable) - here it is suitable to assign a company code, for example, which you also use in other systems (e.g. accounting) to identify the data point. This code can also be used as an assignment parameter when uploading the data.
  • Superordinate Entities, Entity mandatory field (selection of parent entity) - this information is crucial for mapping the structure of the group and the relevant data points. However, this can be changed subsequently.
  • Relation(selection of subsidiary, customer or supplier) - this information is decisive for the consolidation within the company and the mapping of internal and external areas.
  • Percentage share of subsidiary (value between 0 and 100) - similar to a financial consolidation, you can use this to specify the percentage to be included at the next higher level.
    Practical tip: Use this to depict your legal structure if, for example, you want/need to consolidate financial data in the EU Taxonomy module. If you want to insert external company data, set the percentage to 0% so that your financial data is not incorrectly included in the group. Customers and suppliers are not consolidated by default.

     

  • Consolidation method (select full or proportionate consolidation) - If full consolidation is selected, all values are consolidated at 100% regardless of the percentage share; if proportionate consolidation is selected, however, only the corresponding share is consolidated.
Practical note: You can use this function to generate different aggregations and thus enable more differentiated evaluations. The consolidation method can also be overwritten at key figure level.
  • Tags (freely definable) - To create further visual structures, you can set so-called tags. Simply enter the desired tag (example: test) and confirm with ENTER. You can also add several tags. These are then displayed in the entity overview.
  • Currency mandatory field (selection between created currencies) - The currency field is automatically pre-filled with the default currency you have selected and can be changed. Please note that only currencies created in the tool appear in the selection. If you want to create additional currencies, go to the section “System settings for admins > Currencies & units”.
  • Emission Unit (selection of the unit in which emissions are to be displayed) - The default setting here is kg and we recommend leaving this as it is, as the emission factors in the tool are in kg. The individual entry is then automatically converted into the correct unit.
